Buyer Portal Guide

This guide is for buyers — people who receive quotes from companies using TackQuote. No account needed, no software to install. Here is everything that happens between “You’ve got a quote” and “Order confirmed.”

Accessing your quote

You’ll receive an email from your sales contact with a link to your quote. The link takes you directly into the buyer portal — no account required.

  1. Open the email from your sales contact.
  2. Click "View your quote" — this takes you to the TackQuote buyer portal.
  3. The link is your unique access token. Bookmark it if you plan to return later.
  4. The link expires when the quote expires. Your sales rep can resend it at any time.

Your sales rep can resend the link at any time if you lose it. Just ask them to hit “Resend quote” in their dashboard.

Understanding your quote

The buyer portal shows everything your vendor has prepared for this deal. Here is what each part of the page means.

  • Header — company name and logo, quote number (e.g. TK-2026-000142), issue date, and expiry date.
  • Line items — each product or service, its description, quantity, unit price, and line total.
  • Optional items — items your vendor has flagged as optional. You can toggle these on or off (see Section 3).
  • Pricing summary — subtotal, any discount your rep has applied, tax, and the grand total.
  • Terms and conditions — if your vendor has included T&Cs, they appear at the bottom before the signature block.

Configuring your order

Some quotes let you adjust quantities or toggle optional items before signing. When a field is editable, it will appear highlighted — prices update in real time as you make changes.

  • Adjustable quantities — click the quantity field on any editable line item and type your desired amount. The line total and grand total recalculate immediately.
  • Optional items — use the toggle switch to include or exclude an item. The pricing summary updates instantly.
  • Real-time totals — the pricing summary at the bottom always reflects your current selections.

Not all quotes allow configuration — your vendor controls which fields are editable. If a field is locked, contact your sales rep to request a change.

Requesting changes

Need different pricing, a different delivery address, or an item removed? Use the built-in comment thread rather than replying by email — it keeps everything in one place and notifies your rep immediately.

  1. Click "Request changes" in the portal toolbar.
  2. Type your comment — be as specific as you can (e.g. "Please remove line 3 and reduce quantity on line 1 to 50 units").
  3. Submit the comment. Your sales rep is notified instantly.
  4. They'll update the quote and you'll receive a new notification when a revised version is ready.

Signing the quote

When you’re happy with the quote, click Approve & Sign. The signature is legally binding — make sure you have authority to accept on behalf of your organisation.

  1. Click "Approve & Sign" in the portal.
  2. Type your full legal name in the signature field.
  3. Check the agreement box to confirm you accept the terms.
  4. Click "Confirm signature." Your name, a timestamp, and your IP address are recorded.
  5. You'll receive a confirmation email with the signed PDF attached.

Multi-party signing

If more than one person in your organisation needs to sign, each stakeholder will receive their own link. The portal shows a live counter — for example, “2 of 3 signatures received” — so everyone can track progress.

  • Each signer receives a separate email with their own unique link.
  • Signatures can be completed in any order.
  • The quote status updates to "Accepted" only after all required parties have signed.
  • All signers receive the final signed PDF once the last signature is collected.

Checkout

If your vendor uses BigCommerce or Shopify, the portal will show a Proceed to checkout button after your quote is accepted.

  • Click Proceed to checkout — you’ll be taken directly to a pre-filled cart on their store.
  • All your line items, quantities, and any applied discounts transfer automatically.
  • Complete payment on the store as you normally would.
  • You'll receive an order confirmation from the store once payment is processed.

If there is no checkout button, your sales rep will handle the order manually and send you an invoice. You don’t need to do anything further in the portal.

Registering for the buyer portal

If you’re a repeat buyer, you can register for a portal account to manage all your quotes, invoices, and order history in one place — no more hunting through emails.

  1. Go to portal.tackquote.com/register.
  2. Enter your email address and your company slug (your sales rep can give you this).
  3. Check your inbox — you'll receive a magic link. No password needed.
  4. Click the link to enter your portal dashboard.
  • View all open, accepted, and expired quotes in one list.
  • Download signed PDFs and invoices at any time.
  • See your full order history.

FAQ for buyers

My link isn’t working.
Links expire when the quote expires. Ask your sales rep to resend the quote — they can do this in seconds from their dashboard.
I need to change the delivery address.
Leave a comment using the "Request changes" button, or contact your sales rep directly. Address changes are not editable by buyers in the portal.
Can I split the order?
Not through the portal. Contact your sales rep — they can create separate quotes for each part of the order.
How do I get an invoice?
After you accept the quote, a signed PDF is emailed to you automatically. If you have a portal account, you can also download it from your dashboard at any time.
I signed but haven’t received the confirmation email.
Check your spam folder first. If it’s not there after a few minutes, ask your sales rep to resend the confirmation from their dashboard.
The quote has expired — can it be extended?
Yes — your sales rep can reissue the quote with a new expiry date. The link you receive will update automatically.
